Google Calendar finally lets you block time for tasks — no more fake meetings 📅

For years, Google Calendar has been great at managing your meetings… but far less helpful when it comes to managing your actual work. Blocking out time to focus on something important usually meant creating a fake meeting with yourself just to protect a slot. That workaround is no longer needed: Google is finally adding a proper way to schedule tasks as dedicated time blocks — complete with “busy” status, automatic decline for conflicting invites, and even Do Not Disturb.

What’s actually changing 🗓️

This update finally brings Google Tasks and Google Calendar closer together. Until now, both tools lived side by side but rarely talked to each other. With the new feature, your tasks can now occupy real space in your calendar, with clear availability rules visible to others. The result: less hacking, more clarity, and a way of time-blocking that actually reflects how you work.

The key addition is the ability to convert a task into a dedicated time block directly from Google Calendar, just like creating a normal event. Pick an empty slot, choose Task, then set the duration, details, and related settings (visibility, Do Not Disturb, auto-decline, etc.).

Unlike classic tasks that only had due dates (often without a specific time), these new “task blocks” behave like real calendar entries — respected just like a meeting. They stay tied to your existing Google Tasks list, so you get both a proper spot in your schedule and task tracking until you check them off.

A smoother, more realistic daily workflow ⚡

If you’re into time blocking, this update is a game changer. Every important task can now become a structured block in your day, with a clear boundary that prevents last-minute meetings from swallowing your focus time. Your schedule becomes more readable at a glance: it’s no longer just about where you need to be, but what you’re actually working on.

Teams and managers also get a more accurate picture of everyone’s workload. A calendar full of meetings but seemingly empty of deep-work time paints an unrealistic picture. By integrating tasks as real reserved slots, Google Calendar helps show true availability — and may reduce the pressure of the “always available” culture.

Rollout and global availability 🌍

This feature isn’t limited to enterprise users. It’s rolling out to everyone with Google Calendar: Google Workspace customers, Workspace Individual subscribers, and even personal Gmail accounts. The rollout began in early November 2025 for rapid-release domains and will continue from early December for scheduled-release domains.

As usual with Google, it’s gradual — it may take more than two weeks before the option appears for everyone. If you don’t see task time-blocking in your Calendar yet, just give it a bit more time… or keep checking your event creation menu.
